General Contractor has an immediate opening for a Full-Time, In-Office Administrative Assistant with a focus on Construction Badging to join the Compliance Team in its Ramsey, NJ office.

Primary Responsibilities

• Compliance Badging (75%)
• • Serve as a liaison between the project team, subcontractors, and office staff to ensure required badges are issued to all authorized personnel for all relevant jobs
  • Run and manage background check process for badging purposes
  • Maintain organizational logs to track badging requirements, needs and distribution

• Other Compliance-Related Tasks (25%)
• • Perform administrative tasks including data entry, filing, scanning, printing, and copying as needed.
  • Maintain and update subcontractor contact information and databases.
  • Track and manage subcontractor licenses, certifications, and compliance documentation.
  • Communicate regularly with subcontractors, architects, owners, local building departments, site superintendents, and other stakeholders.
  • Support additional projects and administrative duties as assigned.

Skills & Qualifications

• Strong verbal and written communication skills.
• Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook; experience with Timberline and Elation is a plus.
• Highly organized with exceptional attention to detail.
• Sound judgment with the ability to make timely, well-informed decisions.
• Ability to work independently as well as collaboratively within cross-functional teams.
• Capable of processing requests efficiently in a fast-paced environment.
• Customer-service oriented with a professional demeanor.
• Self-motivated, dependable, and deadline-driven with a strong work ethic.
• Proven ability to manage multiple priorities while maintaining accuracy.
